Cancellation & Refund Policy
General Guidance
By taking your reservation, we agree to keep a room or rooms available to you, to the exclusion of all others, for the dates you have requested. In return, we rely on customers who have made reservations in advance to give us fair notice of cancellation.
A room cancellation in a hotel may amount to less than 2% of the total capacity of that hotel and therefore any cancellation has little effect on their overall business for any particular day. In the case of a B&B or Guesthouse, a cancellation represents a far greater proportion of their business for any particular day. In the case of Riverbend Berg Lodge, it represents 12% – 25% of our capacity, depending on the type of room cancelled. For this reason, Riverbend Berg Lodge Policies are generally less flexible than those of a hotel.
Personal details requested on booking are for our ‘sole’ use and are not passed on to any 3rd party except where we make enquires for and on your behalf at another establishment.
We strongly recommend that all guests obtain suitable Travel Insurance to provide suitable cover in the event of cancellation.
Refunds are not provided in the event of early check-outs.
The individual making the initial reservation should, where possible, be the individual to inform us of any cancellations or amendments to reservations.
Cancellations/Amendments
To avoid charges, cancellations or amendments to reservations should be made as soon as possible and within the requested time periods specified below, preferably confirmed by letter or e-mail.
Accommodation Bookings for 2 Nights or less:
Cancellations/amendments should be notified as soon as is practically possible, however:
Cancellations made 21 days or more prior to the date of arrival, no charges will be payable, although any deposit already paid will be forfeited.
Cancellations made between 21 and 14 days prior to arrival, a charge equivalent to one night’s stay and the loss of any deposit already paid will be charged to the credit card used to secure the initial reservation.
Cancellations made less than 14 days prior to arrival, a cancellation charge equal to the full amount of the original booking will be charged to the credit card used to secure the initial reservation.
Accommodation Bookings for 3 or More Nights:
Cancellations should be notified as soon as is practically possible. However:
For cancellations made 28 days or more prior to the date of arrival, no charges will be payable, although any deposit already paid will be forfeited.
For cancellations made between 28 and 21 days prior to arrival, a charge equivalent to one night’s stay and the loss of any deposit already paid will be charged to the credit card used to secure the initial reservation.
If cancellations are made less than 21 days prior to arrival, a cancellation charge equal to the full amount of the original booking will be charged to the credit card used to secure the initial reservation.
Cancellation of Reservations by Riverbend Berg Lodge
We take our responsibilities seriously and will hold rooms as requested and confirmed for you. However, on rare occasions it may be necessary to cancel your reservations with us due to proprietor illness, accidental double booking, family bereavement or a need for urgent repairs.
On such rare occasions, we will inform you at the earliest opportunity and will endeavour to find you alternative, comparable accommodation close by at the same room rate(s).
To ensure guests are not disadvantaged, we will also cover any differences in room rate at the alternative establishment.
Changes to Guest Names
Changes to guest names should be notified to the Riverbend Berg Lodge proprietors at the earliest opportunity and may constitute a new reservation or, if we lack appropriate facilities for any new reservation, may be declined and our Cancellation Policy will apply.
It should not be assumed that alternative guests can take up any unused nights. This will be at the discretion of the Riverbend Berg Lodge proprietors.
Changes to guest names at any point during the reservation without prior consultation with the proprietors will constitute a new booking and the credit card used to secure the original reservation will be charged accordingly.
Non Cancellation / No Shows
Failure to cancel and/or “No Shows” will result in a charge of the full amount of the original booking.
We trust that our guests will consider this to be a fair and reasonable policy and confirmation of a reservation shall imply acceptance of these terms.
